Hiring & Onboarding

What happens between “we picked this candidate” and a working employee with access and records?

When every stage passes, one action converts the applicant into a person, an employee, and a live employment assignment on the vacancy’s position and unit. A designated onboarding workflow then launches automatically the first time the new employee signs in.

The sequence

4 steps
  1. All stages passed

The application carries a hired flag after tests and panel scores complete.

  2. One-step conversion

Person, employee, and employment assignment are created on the vacancy’s position and unit.

  3. Records carried over

Contacts, education, trainings, and family records copy from the application; the application keeps the employee link.

  4. First sign-in

The designated onboarding workflow launches automatically until the employee is marked onboarded.

How it works

The conversion is a single transfer step, not a re-keying exercise. It creates the person record, the employee record, and the employment assignment bound to the position and unit the vacancy was opened for — and it copies the candidate’s contacts, education, training, and family records across, writing the new employee id back onto the application so the trail stays connected.

Onboarding itself rides the platform’s process engine. A workflow designated as the onboarding process launches automatically for an employee who has not yet completed it when they first sign in, and organizations can also run a designated post-login process that presents once per day. What those workflows contain — forms, notifications, generated documents — is built in the Process Builder, so onboarding steps are configuration, not code.

This page describes what is verified today: the one-step conversion and the sign-in-triggered onboarding workflow. Richer per-position onboarding checklists are under active development and are not claimed here.

Worth knowing

  • No re-keying at hireCandidate data recorded during recruitment becomes the employee’s starting records in one transfer.
  • Assignment from day oneThe hire lands on the exact seat the requisition opened, so access and reporting lines are correct immediately.
  • Onboarding as a workflowThe onboarding sequence is a process you design — it launches at first sign-in and stops once completed.
  • Traceable end to endThe application keeps a link to the created employee, closing the position → vacancy → candidate → employee loop.
