Personnel Records

Can one employee file actually hold everything HR is responsible for?

Each employee file is one record chain with around thirty sub-record categories, from bank accounts and family contacts to work permits, health examinations, and safety equipment issuance. Every category is a maintained list on the employee screen, not an attachment folder.

How it works

The file is built on the platform’s person model: a person can be an employee, customer, or partner without duplication, and the employee record layers employment-specific data on top. From one screen, HR maintains bank accounts with account validation, personal and emergency contacts, family members, education history, skills, memberships in external organizations, and travel records.

Compliance-oriented categories are first-class records too: work permits and visa data for foreign employees, disability records, health examinations, veteran status, conflict-of-interest declarations, and issued safety equipment. Employee documents are filed by category with upload support, and per-employee reminders can be set against the record. These are sensitive fields by nature, and access rides the platform’s permission model.

Field-level checks keep the data usable: work email and visa-number checks, personal-number uniqueness, and validation on identifiers run at entry. The same employee record connects onward to employment assignments, payroll, scheduling, and self-service, so there is exactly one version of each person.

What is filed, and who reaches it

Personnel Records

  • Around thirty record categories

Bank accounts, contacts, family, education, skills, memberships, travel, permits, disability, health examinations, veteran status, conflict-of-interest, safety equipment, documents, and reminders — each a maintained list.

  • One person, many roles

The person record is shared platform-wide, so an employee who is also a customer or partner is still one person.

  • Documents filed by category

Employee documents upload into named categories on the file, backed by the platform document store.

  • Validation at entry

Identifier, email, and visa-number checks plus personal-number uniqueness run when records are saved.

  • Permission-controlled access

Access to the file follows module and seat-based permissions; sensitive categories are not open by default.
