Sales Orders

What does a sale record actually carry — terms, lines, stock linkage, and payments?

A sale fixes its commercial terms on one record: buyer from the partner master, source warehouse, currency with its exchange rate, maturity days and date, payment way, price tier, salesperson, and department. Detail lines are lot-aware and total price is calculated from the lines.

What the record holds at once

  • Exchange rate per sale

The sale stores its currency and the banking exchange rate resolved for it, so foreign-currency sales keep their conversion basis.

  • Lot-aware lines

Lines on lot-tracked articles name the specific lot from the sale’s warehouse, preserving traceability into the sale.

  • Reserved-stock sales

A sale can draw stock reserved for it earlier, so committed quantities are not sold twice.

  • Payments and credit per sale

Payment records accumulate against the sale with credit totals tracked, and an accounting reference ties the sale to its posting.

  • Settings templates with account mapping

Position-assigned sale settings bind defaults and map VAT categories to chart-of-accounts entries per register.

  • Sale document to the buyer

The sale report can be sent to the buyer by email directly from the record.

How it works

The sale header carries the who and on-what-terms: the buyer and an optional transport partner, the invoice date, the department from the organization hierarchy, the warehouse, the currency with a banking exchange rate resolved for the sale, maturity days and the resulting maturity date, the payment way, the selected sales price tier, the responsible salesperson, an optional overall discount percentage, and a flag to email the sale document to the buyer.

Detail lines are added per article against the sale’s warehouse. For lot-tracked articles the line names the specific lot, drawn from the lots available in that warehouse, and the sale total is recalculated from the lines. A sale can also be flagged for reserved stock, drawing quantities that were put aside earlier, and the stock ledger links outgoing movements to the sale record.

The record keeps its money trail: payments are recorded per sale with the running credit tracked, an accounting reference ties the sale to its posting, and documents can be attached. Sales registers are grouped under named settings templates assigned to organization positions — each template binding default currency, price types, warehouse, posting accounts, and the mapping of VAT categories to accounts.
