Customer Orders

How do we record a customer’s order and make sure the stock will be there when it ships?

A customer order records the buyer, the order date, and the due date under a unique reference. Its lines each name the article, the quantity, and the warehouse that will serve them — and the order decides whether stock is reserved now or drawn immediately.

The sequence

4 steps
  1. Record the header

Buyer, order date, due date, and the reserve-stock choice; optionally link an active sale contract.

  2. Add lines with a warehouse each

Every line names its article, quantity, and serving warehouse, checked against stock net of reservations.

  3. Reserve or draw

Saving writes per-line reservations, or decreases stock immediately when reservation is off.

  4. Fulfill into a sale

The committed order proceeds to the sale document and dispatch, closing the reservation.

How it works

The reservation choice is the order’s defining switch. With reserve-stock on, saving the lines writes a stock reservation per line against the chosen warehouse, so the quantities are held until fulfillment; with it off, stock is decreased immediately as lines are saved. Stock views show remaining quantity net of existing reservations, so the person entering lines sees what is genuinely available per warehouse.

Orders can run under a contract. A contracted order is linked to one of the buyer’s active sale contracts, and its lines draw from the contracted articles — at the locked contract price, with remaining quantity counted down as orders consume the agreement. Editing an order replaces its line set and re-applies the reservation logic, so the held quantities always match the current lines.

Worth knowing

  • Per-line warehouseEach order line names the warehouse it will be served from — multi-site fulfillment is modeled on the line, not assumed.
  • Reservation as a switchReserve-stock on the order decides between holding quantities and drawing them immediately, per order rather than per policy.
  • Contract drawdownContracted orders pull articles from the buyer’s active sale contract at locked prices, with remaining quantities counted down.
  • Availability net of reservationsStock lookups subtract existing reservations, so promised quantities are not promised twice.
  • Due dates on the recordOrder date and order due date live on the header, giving fulfillment its deadline from the start.
