Supply Chain & Operations

Purchasing & Supply

continON Purchasing & Supply runs buying as one chain of records: a request with justification and an approval decision, an order to a supplier, a line-level goods acceptance, and the purchase recorded from it that lands in the stock ledger. Every step keeps a reference to the one before it, so a received quantity traces back to the request that started it.

The operating model

The buying lifecycle is a chain of linked records. Request lines carry a written justification and an approval decision with an approved quantity; order lines reference the request lines they fulfill; acceptance lines reference the order lines they receive; and stock ledger rows reference the supply lines that produced them. That chain is what makes procurement auditable — any quantity on the shelf traces back to who asked for it and who approved it.

Around the chain sits the commercial reality of buying. Suppliers live on the same partner record as customers, with evaluation ratings, deposit terms, and multi-currency accounts. Offers are exchanged with suppliers through the partner portal, and the offer builder suggests lines from items nearing expiry and from your most-purchased items. Purchase orders carry currency and exchange rate, customs data for imports, payment terms, and freight expenses, while purchase contracts lock prices and let call-off orders draw down the remaining contracted quantity.

Receiving is line-level: partial quantities are recorded as such, delivery documents attach to the acceptance record, and a sign-off panel closes it. From there the goods live in Warehouse Management with warehouse and sector placement, and the financial trail continues into the general ledger records in Finance & Accounting.

The purchase order

Goods accepted and stocked

  1. Request

A purchase request is raised line by line with quantities and a written justification; lines already in stock can reserve existing inventory instead.

  2. Approve

Each line receives an approval decision with an approved quantity that can differ from what was requested.

  3. Source & order

Supplier offers are compared, then approved request lines become a purchase order to the supplier.

  4. Accept goods

The delivery is accepted line by line against the order, with partial quantities, attached documents, and a sign-off.

  5. Purchase & stock

The purchase is recorded from the accepted quantities, with currency, payment terms, customs data, and freight, and puts the goods in the stock ledger with warehouse and sector placement.

  6. Account

Recording the purchase posts it to the general ledger, so the financial side of the buy is traceable to the operational records.
