Purchase Orders
What does a purchase order carry besides lines and prices?
A purchase order addresses a supplier with lines drawn from approved requests, and carries the commercial detail around them: currency and exchange rate, payment terms, freight expenses, and customs data for imports. Configurable purchase settings act as templates so recurring order types start pre-filled.
What the record holds at once
Held constantPurchase Orders 5 states, at the same time
Currency and exchange rate
Each order records its currency and rate, so multi-currency buying is on the record, not in a side note.
Customs and import data
Tariff, origin, and entry/exit details are captured at item and purchase level for imports.
Freight and side expenses
Transport and side costs attach to the supply record alongside the goods themselves.
Order templates
Configurable purchase settings pre-fill recurring order types.
Request-to-receipt references
Order lines reference request lines, and acceptance lines reference order lines — the chain stays linked.
How it works
Orders and their lines sit on a shared order spine, and each order line can reference the approved request line it fulfills. That keeps procurement traceable in both directions: from a request to the order that answered it, and from an order back to the demand that justified it.
The commercial layer is explicit on the record. An order carries its currency and exchange rate, payment terms, and freight and side expenses attached to the supply, so landed context is captured rather than reconstructed later. For international buying, customs data — tariff, origin, entry and exit details — is recorded at both item and purchase level.
Configurable purchase settings work as templates for recurring order types. Downstream, goods acceptance receives against the order lines, and stock ledger rows keep a reference to the supply line that produced them.
