Goods Acceptance & Receiving
How is a delivery checked in against its purchase order?
Goods acceptance receives a delivery against its order, line by line — each acceptance line references the exact order line it fulfills, and partial deliveries are recorded as partial. Delivery documents attach to the acceptance, and a sign-off panel closes it.
The sequence
5 stepsReceive delivery
The acceptance is opened against the purchase order being delivered.
Accept line by line
Each acceptance line records the received quantity against its order line, partial where partial.
Attach documents
Delivery notes and paperwork attach to the acceptance record.
Sign off
The sign-off panel closes the acceptance with the accepting party on record.
Into stock
The purchase recorded from the accepted quantities puts them in the stock ledger with warehouse and sector placement.
How it works
An acceptance record belongs to an order, and its detail lines reference individual order lines. A short delivery is captured as the quantity actually received, so the difference between ordered and accepted is data on the record rather than a dispute reconstructed from memory.
Delivery notes and related paperwork attach to the acceptance as documents, and the record closes through a sign-off panel — who accepted the goods is part of the record.
Acceptance is the canonical receiving step for purchased goods. The purchase is then recorded from the accepted quantities, and recording it puts the goods in the stock ledger with warehouse and sector placement; each ledger row keeps a reference to the purchase line it came from, so shelf stock traces back to the delivery and order behind it. Serial numbers created for serialized items are traceable to this receipt.
