Damaged & Expired Stock Write-Offs

What happens to damaged, expired, or invalid stock?

Invalid stock — damaged, expired, or out of storage condition — goes through a write-off record with reason flags and a required justification. The record carries a general ledger account, a recyclable flag, disposal cargo details, and a return step, so the loss is accounted for and documented rather than quietly adjusted away.

The sequence

5 steps
  1. Flag

Stock is flagged invalid by a condition breach, an inspection finding, or a manual decision.

  2. Justify

The write-off records its reason flags and a required written justification.

  3. Classify

Recyclable, disposal cargo, or supplier return — the outcome is chosen on the record.

  4. Account

A general ledger account on the write-off carries the loss into the books.

  5. Document

Supporting files attach to the record, closing the audit trail.

How it works

The write-off record classifies why stock is invalid through reason flags and requires a written justification — there is no anonymous shrinkage path. What happens to the goods is part of the same record: a recyclable flag, disposal cargo details for what leaves the building, and a return step where goods go back to a supplier.

The financial consequence is explicit: the write-off carries a general ledger account, so the loss lands in the books as a posted, attributable event instead of a mystery variance at year end. Supporting documents attach to the record.

Write-offs do not rely on someone noticing. A sector-condition breach automatically flags affected stock as invalid, and warehouse inspections feed the flow with their findings — the exception process starts from the monitoring, not from luck.

Worth knowing

  • Reason flags plus required justificationEvery write-off states why, in structured flags and written text.
  • General ledger accountThe financial posting target is on the write-off record itself.
  • Recycling and disposal cargoWhat physically happens to the goods is recorded, including disposal transport.
  • Supplier return stepGoods going back to the supplier are a step in the same flow.
  • Automatic flaggingCondition breaches flag stock invalid without waiting for a person to notice.
